Carneros Resort and Spa, formerly The Carneros Inn, is a cottage resort on 28 acres of vineyard country in Napa, with two ballrooms that face a courtyard, a dining room on the hilltop and lawns for the ceremony. Company party or wedding, I run the sound, the microphone and the timing across all of it, so you don't have to.

A cottage resort
among the vineyards

Carneros Resort and Spa sits at 4048 Sonoma Highway in Napa, in the Carneros wine region, on 28 acres surrounded by rolling vineyards and about an hour from San Francisco. Its design is farm-inspired, a nod to the valley's agricultural and winemaking heritage. You'll still see it searched as The Carneros Inn. Same place.

The event spaces sit in two clusters. In Town Square, the Napa and Sonoma Ballrooms face each other across the Carneros Courtyard, beside the resort's restaurant, FARM. The second cluster is the Hilltop: the Hilltop Dining Room with its patios and courtyard, the Vineyard Lawn and The Arbor. Guests can stay on site too, in the resort's cottages, suites and homes, so nobody is watching the clock for a drive home. Bus and valet parking are available.

A day here can follow the property: a ceremony on one of the lawns, cocktails on the patios or in the Courtyard, then dinner and dancing in a ballroom or the Hilltop Dining Room. A company day uses the same rooms: a ballroom for the whole group, the Courtyard for evening cocktails or a break between sessions, and a dinner after.

Two things shape the sound here: lawns and patios in open air, with nothing to hold a voice, and rooms with vaulted ceilings and tall windows. Neither is a problem. Both need a plan.

The spaces

Every space,
its own sound

Napa and Sonoma Ballrooms

Two contemporary ballrooms with vaulted ceilings and a lot of natural light, both opening onto the Carneros Courtyard. The Napa Ballroom is the larger and can be divided into thirds. The Sonoma Ballroom has two sections. Tall ceilings carry sound upward, so I aim the speakers at the dancers and size the system to the part of the room in use.

Carneros Courtyard

A lawn between the two ballrooms, built for outdoor gatherings: evening cocktails, breaks between sessions, a place to step out of the room. The dance system stays inside, live and tested, so the music is already playing when guests walk back in from the Courtyard.

Hilltop Dining Room

A reception room with floor-to-ceiling windows, high ceilings and outdoor patios alongside, looking out over the countryside. I plan it with cocktails on a patio and dinner and dancing inside, the system ready before the first guest comes through the door.

Vineyard Lawn and The Arbor

The resort's two outdoor event spaces. The Vineyard Lawn is the largest, with lawns, landscaping and views over the vineyards. The Arbor has a trellis, a water feature and landscaping that overlook the vineyards. A ceremony out here gets its own setup, a speaker aimed at your guests and a wireless microphone, and the reception moves indoors.

Hilltop Courtyard and patios

Between the Hilltop buildings is the Hilltop Courtyard, with an oversized fireplace. Beside the Dining Room are the Hilltop Patio, with countryside views, and the Harvest Patio, a more intimate outdoor space. Cocktail hour lives out here, so I time the move indoors to the dinner service.

How I run a day
across the resort

Four things this property asks for, and what I do about each.

Two clusters, one plan

Town Square and the Hilltop are separate parts of the property. I set the booth and speakers in the room where the dancing happens, and I confirm with the resort where the booth goes and which way I load in before the day. If the ceremony and the dancing are in different places, nobody waits while I carry a speaker.

Outdoors first, then the room

A ceremony on a lawn is open air, so it gets a setup of its own: a speaker aimed at your guests, a wireless microphone for the officiant and the vows, and the processional cued. The dance system goes in the room where the reception happens, set and tested before guests arrive. If your ceremony is indoors, it gets the full system too.

Cocktails outside, the night inside

The patios and the Courtyard are where guests gather, and the room is where the night happens. I keep the system inside live, so when the doors open the music starts, the microphone works and the move from cocktails to dinner is one announcement.

The clock, set by you

I plan the timeline to the end time you choose: the big moments early, dinner with room to breathe, and a full stretch of dancing. I confirm the resort's end time for the space you've booked and build inside it. The last song is the one you chose.

No planner required

You don't have to
hold the day

Here's what usually lands on a host at a resort with this many spaces: who tells guests to move from the lawn to the room, who finds whoever's giving the toast before it starts, who notices dinner is running long. That's my job. I'm the MC as well as the DJ, so every announcement, entrance and toast comes from one person who has the timeline in front of him.

Before your event you fill in a planning questionnaire, then we get on calls for the plan and the music: must-plays, do-not-plays, the exact versions of the songs you love. Then I take the questions below to the resort myself. I arrive early, I carry backup equipment, and by the time the first guest walks in I already know your event inside and out.

Lighting

White walls take
any color you pick

The uplighting in these photos is mine. In the white-walled event room I set uplights at the foot of the walls in warm white and amber, and in one set of photos in magenta across the whole room, with my speakers on stands at the edge of the dance floor. In the glass-walled hall the amber went along the walls, between the glass doors. The big white pendant lamps and the ceiling spots overhead belong to the room, not to me.

One photo shows the room in plain daylight before any of it. Compare the two and you'll see what white walls do with color. Uplighting, dance-floor lighting and a custom monogram or pattern are all choices in the instant estimate.

Beyond weddings

Not only vows
in the vineyards

Carneros Resort and Spa hosts a lot more than ceremonies. Companies book it for meetings, retreats, dinners and team celebrations, and the resort lists holiday celebrations, wine country soirees, birthday celebrations, brunches and milestone events alongside weddings. Guests can stay on the property, so a retreat or a long weekend stays in one place.

So I play it that way. A company dinner or holiday party in a ballroom. A milestone birthday, a fundraiser or a gala with the dance floor open. A Selector Session for a welcome party or a rehearsal dinner: up to four hours of my own programming, kept where people can still talk. And an after-party when the main event is done.

That's most of what an MC is for. We set the order of the day together on the planning calls. On the day I make every announcement, line up the entrances and toasts, and keep the moves from the lawn to the room on time. You get to be a guest at your own event.
Do you play company events and private parties at Carneros Resort and Spa, or only weddings?
All of them. Company dinners and holiday parties, birthdays and milestones, fundraisers, galas, rehearsal dinners and welcome parties. For a dinner or cocktail evening where you want a sound, a Selector Session is a set of my own programming, up to four hours.
